Attendance, Vacation,
and Time-Off Policies
Having a standard way to request a day off or take
vacation leave will help things run more smoothly in the office.
The Paid – Time Off (PTO) policy should outline how much time off employees receive, when and how they can accrue more time off, who they should contact to request their time off and anything else they may need to know about taking PTO (e.g., is vacation use-it-or-lose-it?). Other time off policies to consider creating include parental leave policies and bereavement leave policies.
Policy Statement
Universal Financial Associates Inc (the “Company”) values the work-life balance of its employees and understands the importance of time off for rest, recreation, and personal matters. To this end, the Company have established clear policies on attendance, vacation, and other types of leave to support our employees’ needs while ensuring the smooth operation of our business.
Attendance Policy
Punctuality and Regular Attendance: Employees are expected to be punctual and maintain regular attendance. Consistent attendance is crucial to the efficiency and productivity of the company.
Reporting Absences: Employees must notify their supervisor as soon as possible if they are unable to report to work due to illness or any other reason. This should be done according to the department’s established procedures.
Unplanned Absences: Unplanned absences should be minimized and are subject to approval by the employee’s supervisor. Chronic absenteeism or tardiness may lead to disciplinary action, up to and including termination.
Attendance Records: Supervisors will maintain accurate attendance records for all employees and review these records regularly to ensure compliance with company policies.
Vacation Policy
Vacation Eligibility
Full-time employees are eligible for paid vacation time based on their length of service with the company. Part-time employees may also be eligible on a prorated basis.
Vacation Accrual
Vacation time is accrued on a monthly basis and can be used as it is earned in accordance with the years of service as it stated in the Applicable Law.
Vacation Scheduling
Employees must submit vacation requests in advance, typically at least prior two weeks, to their supervisor. Vacation time is granted on a first-come, first-served basis, and subject to operational requirements.
Carryover and Forfeiture
Employees may carry over up the days of unused vacation to the next calendar year according the applicable Federal and State Laws. Any vacation time exceeding the Applicable Law’s limit will be forfeited.
Vacation Payout
Upon termination of employment, employees will be paid for any accrued but unused vacation time, as required by state law.
Time-Off Policies
Sick Leave
Employees are entitled of paid sick leave per year according the applicable Federal and State Laws. Sick leave can be used for personal illness, injury, or medical appointments. Employees must notify their supervisor as soon as possible when taking sick leave.
Family and Medical Leave (FMLA)
Eligible employees may take up to 12 weeks of unpaid leave in a 12-month period for specified family and medical reasons, as outlined by the Family and Medical Leave Act (FMLA). This includes leave for the birth or adoption of a child, serious health conditions, or to care for an immediate family member with a serious health condition.
Bereavement Leave
Employees may take days of paid leave according the applicable Federal and State Laws in the event of the death of an immediate family member. Additional unpaid leave may be granted at the discretion of the employee’s supervisor.
Jury Duty and Court Appearances
Employees will receive their regular pay while serving on jury duty or appearing in court as a witness, provided they submit appropriate documentation. Employees must notify their supervisor upon receiving a jury summons or court subpoena.
Military Leave
Universal Financial Associates Inc complies with the Uniformed Services Employment and Reemployment Rights Act (USERRA) and provides leave for military service. Employees must provide advance notice of military leave when possible.
Personal Leave
Personal leave of absence without pay may be granted at the discretion of management. Requests for personal leave must be submitted in writing and approved by the employee’s supervisor.
